Surely we are not the only ones who found out that accurately recording and correctly assigning project activities can be a very tedious job, and a lot of valuable time can be lost in the process. Unfortunately, hiring a project assistant is usually not an option. So we tackled the problem at its root: with our own AI that takes care of documentation.
Service documentation sounds fairly straightforward. Unfortunately it is not. Our consultants often spend days on the road, rushing from one meeting to the next – and then have to sit down in their hotel room at night, to document everything that happened during the day. That’s when memories may start to fade… However, our clients want to know exactly what we’ve been doing on their behalf.
We found out very quickly: we needed AI! Off-the-shelf standard solutions didn’t meet our requirements, though – too generic, too inflexible. We wanted something that speaks our language, understands our structures and can be seamlessly integrated into our IT environment.
This is why we developed our own AI that records time entries, services and reports via phone call or chat, guides users through the recording process and asks specific questions to ensure nothing is overlooked. A key advantage is that our AI can be called directly whilst travelling from one appointment to the next, when memories are still fresh. As a result, our AI has already become a personal assistant for our consultants.
Three to thirty seconds, depending on complexity – that’s how long it takes us to log a service entry now. OK, maybe a minute at most, if we need to draw up detailed action plans. And yes, data entry can be done on the go, anytime, anywhere.
After a short ramp-up phase, our AI now works flawlessly. For us, that means less admin, cleaner reporting and more time for what really matters: the actual project work for our clients. Because that, of course, remains in human hands!
